Bike Care privacy notice

Data and purposes

We process your name, email address, telephone number, bike model, frame number and bike photo to identify your bike and fulfil your membership. We also process your chosen plan, payment status, Stripe references, membership number, service history, agreed extras and acceptance of the terms. We record the selected language to present registration and payment in that language. Bike photos are resized and converted to WebP. Please upload only your bike, without identifiable people or unnecessary personal information.

Required fields are necessary to complete online registration. Contact the shop if you have difficulty providing them. Necessary session information, signup attempts and technical logs are processed for operation and security. The application uses a technical session cookie. Bike Care data is not automatically used for newsletters or public photo galleries.

Legal bases

Processing to prepare and perform the contract is based on Article 6(1)(b) GDPR. Statutory accounting and evidence obligations are based on Article 6(1)(c). Abuse prevention, access controls and pursuing legitimate claims are based on Article 6(1)(f); our interest is secure, traceable operation.

Recipients and Stripe

Authorised staff and necessary hosting or IT providers have access. For payment, Stripe receives your email address, selected plan, an internal registration reference and the payment-page language. You enter payment details directly into Stripe. Full card numbers and card security codes are not stored in the Bike Care database. We receive payment, subscription and refund statuses to manage your benefits.

Stripe may process data outside the European Economic Area. Information about the relevant entities, legal bases and international transfer safeguards is provided in Stripe's privacy policy. Authorities and advisers receive data where required by law or justified by a legitimate need.

Retention

We retain membership and service data for as long as needed to perform the contract. Afterwards, we retain only data needed for statutory retention duties or outstanding claims, and then delete it. Bike photos are deleted when identification is no longer needed, unless required for a specific unresolved matter. Abandoned registration data and technical logs are cleaned up according to their purpose. Archiving a customer profile does not delete it.

Your rights

You may contact admin@elite-bikes.com to request access, rectification, erasure, restriction and data portability where the respective conditions apply. You may object to processing based on legitimate interests for reasons relating to your particular situation. Any consent given may be withdrawn for the future. You may complain to the Spanish Data Protection Agency, AEPD, or another competent supervisory authority.

Service entitlement is displayed automatically based on your plan, confirmed payment and previous use. You can always request a personal review by Elite Bikes if anything is incorrect.

Membership confirmations are sent through our hosting provider’s mail server. We process the recipient address, contract details, selected language, copies of the applicable legal notices, sending attempts and handover status to confirm the contract and troubleshoot delivery. The same purpose-based retention rules as for membership data apply.
